The Accounts Receivable Specialist I fulfills an integral transactional and reporting function in the Finance department of SoftwareONE. This role will include collection calls in a fast paced goal oriented collections department. This role works with multiple aspects of accounting including Accounts Receivable, customer credit/rebills, and 3rd party collections. The Accounts Receivable Specialist will have direct customer contact and perform other special projects as needed. This position will report directly to the Collections Manager.


  • Monitor and reduce delinquency while maintaining assigned AR aging accounts
  • Make outbound collection calls and provide written correspondence
  • Provide customer service regarding collection issues, review accounts for past due aging, verify credits
  • Review for account adjustments needed – credit/rebills, resolve client discrepancies, queries, and short/over payments
  • Prepare and issue customer refunds accurately
  • Create excel documents and prepare weekly aging reports
  • Review and reconcile customer unpaid invoice activity,
  • Responsible for clear and concise notes of collection activity completed
  • Communicate with internal and external customers via phone, email, mail or in person to assist and resolve customer inquiries
  • Partner with sales and senior management when necessary to advise of credit risk concerns
  • Communicate & follow up effectively with the sales department regarding customer accounts
  • Update ERP(Navision-NAV) database customer records
  • Prepare uncollectable packets for 3rd party collection agency placement
  • Provide customer remittance summaries, duplicate invoices and verifications of payments received and applied
  • Exceed defined department goals and activity metrics



  • 1-3 years Accounts Receivable and Collection experience preferred
  • Must possess excellent attention to detail
  • Ability to thrive  in a fast-paced, team environment, but also be able to work independently
  • Ability to maintain a proactive and positive attitude while being tenacious
  • Strong desire to learn as well as coach others
  • Knowledge of finance, accounting, and basic office administration procedures
  • MS Office experience including intermediate Excel knowledge is critical
  • Excellent written and verbal communication skills
