Plan, direct, or coordinate the activities of personnel involved in maintaining facilities, travel and transport desk, procurement, security, office catering, event management and vendor management.



  • Maintain rental and maintenance agreements of PAN India facilities
  • Inspect facilities routinely to determine necessity of repairs or maintenance
  • Manage and oversee operations, maintenance, administration, and improvement of facilities
  • Plan, schedule, and coordinate general maintenance, major repairs, and remodeling or construction projects
  • Ensure office premises meet health and safety requirements and that facilities comply with legislation
  • Respond appropriately to emergencies or urgent issues as they arise and deal with consequences
  • Investigate availability and suitability of options for new premises

Travel and Transport Desk

  • Liaise and establish a positive but firm relationship with contractual service providers and vendors through monitoring that obligations and agreements are fulfilled with compliance to the policies of SWO
  • Optimize travel and transport desk services to include: best practice implementation, standardization and continuous process improvements


  • Develop, implement, monitor and evaluate SWO safety and security procedures, including fire safety, employee and asset protection

Office Catering

  • Process catering requests and provide catering for meetings

Event Management

  • Finalize venues for employee events

Vendor Management

  • Consult, negotiate and monitor contracts and agreements with vendors and service providers
  • Conduct periodic review of vendors to ensure compliance to SWO requirements
  • Manage projects and supervise and coordinate work of contractors
  • Prepare documents to put out tenders for contractors
  • Represent SoftwareONE in negotiating contracts and formulating policies with suppliers


  • Bachelor’s/Master’s degree from college or university.
  • 7 years of directly related job experience
